Speaker: Larry McEnerney (University of Chicago Writing Program) When graduate students envision themselves working outside academia, they often worry about writing. This is sensible: academics who work outside academia are endlessly criticized for writing "like a professor". Worse, writers who are criticized in this way are often baffled at how to adapt to their new world. Very often, they try to change aspects of their writing that are not troublesome, and they leave in place aspects of their writing that are making their writing less clear, less logical, and less valuable to their readers. This session will be about a few patterns of writing that are likely to aggravate non-academic readers. We'll focus on patterns that are often difficult for academics to see, but are actually fairly easy to change.

To format your footnotes properly, following the guidelines set out in the Chicago Manual of Style, make sure you do the following things: • Use Times New Roman font, size 10. • Indent the first line of each footnote one tab space. • Single space your footnotes, but add a space between each one. • Add a period behind the numbers that start the footnotes. • Change the format of the numbering in the footnotes so that the numbers are not in superscript. The Harvard Initiative for Learning and Teaching (HILT), in collaboration with the Harvard Writers at Work Lecture Series, welcomed Professor Steven Pinker and Visiting Professor Jill Abramson on December 9th, 2014 in a talk at Harvard titled, "Mastering Style: The Learning and Teaching of Writing." The discussion, inspired by the recent publication of Professor Pinker’s book, The Sense of Style: The Thinking Person’s Guide to Writing in the 21st Century, was focused on the teaching and learning of writing, associated challenges, and practical recommendations. The starting point of effective writing, Pinker shared, is for the author to determine a mental model of the communication scenario between the writer and the reader. Pinker shared the “classic style” theory of interpreting writer/reader communication from literary scholars Francis-Noel Thomas and Mark Turner. Classic style aims to help the reader see objective reality, which can be accomplished by focusing on the thing being shown and not on the activity of studying it, as well as by avoiding clichés and “metaconcepts” (concepts about concepts), among other recommendations. Academic writing, in contrast, is frequently written in postmodern or self-conscious style, one that includes apologizing and hedging.

Journalists write less on the page to focus more eyeballs on their article and save the editor having to cut them off. Writing concisely refers to only writing what is required and cutting out the rest. Journalists do this in order to make their articles as short as possible. It also makes what they write clear and direct. They do not overuse description or vocabulary, and concentrate on simply telling a reader what is important. A ‘reading age’ is how a journalist’s writing style and vocabulary is tailored towards readers. It refers to reading level that a particular newspaper targets. Depending on the publication, the age is generally set at either an 8th or 10th grade reading level.  Newspapers articles (not features or columnists) are meant to be objective. This means that they are unbiased. News articles are written in the following ways: Present both sides of the story Written in passive voice Adopt a neutral tone Allow the reader form their opinion Passive Voice is where the writer or speaker is ‘removed’ from what takes place. They have no active role or opinion. Journalists use passive voice to remain impartial and avoid making accusations that cannot be proven. They present ‘facts’ in such a way that a reader can draw their own conclusions. The Story: Monty and Jasper are two boys who had an argument in the school yard. Monty claims that a $2 coin that Jasper found was his, while Jasper claims that he simply found the coin lying in the grass. Sensationalism Thievery and verbal arguments are rife within a local primary school, with two students reprimanded over an ugly dispute involving a two dollar coin. Tips for Your Writing There are a number of lessons from the newspaper journalistic style that you can apply to your own writing: Eliminate wordiness Don’t overextend your vocabulary Be direct Make every word important Edit, edit, edit! Newspaper articles are concisely written They are (mostly) objective Use passive voice

When you format your sources in your Works Cited, References page, or Bibliography, you may have to use hanging indentation. Watch this quick tutorial to find out for each entry you can indent every line after the first. This tutorial is for MS Word, but you can apply these same principles to Google Docs, Pages, etc. The easiest way to create hanging indentation in MS Word is to highlight your text and then press Ctrl + T. Another way to do this is to use the paragraph menu (under Home). Then go to "Special" and select hanging indentation. This was a lecture given to postgraduate (graduate) students at the University of Huddersfield as part of a course on Qualitative Data Analysis. I am John Bond from Riverwinds Consulting and this is Publishing Defined. Today I have 13 tips for writing a great academic article or paper. First, let us start before any writing has occurred. Think about whether the effort is justified. Is the topic new and novel in the field? Is the article about a particularly timely topic in your area? Don’t just write an article because you can; rather look to make a difference. Second, think about where you want to submit the manuscript. Be a loyal reader of any journal you intend to submit to; do not just pick one out of an online search. Know the mission of the publication. This will allow you to focus your writing on that journal. Third, follow the instruction or guidelines for authors for that journal very closely, particularly in regard to length and format. Now, let us look at mechanics. The fourth tip is to follow closely the appropriate style manual. Whether the AMA, APA, Chicago style guides, or others, you will benefit by understanding these guidelines in your field. Fifth, short and concise is always better. This applies to the entire manuscript but also to sentence length and paragraph length as well. No one ever said, “I wish that paper was longer.” Ruthlessly delete all extraneous materials. Sixth, follow accepted practices in regard to grammar and style. If you do not know the expected practices find someone that does. Also, read the articles in the journals you are submitting to so you can understand the tone of these articles. Now, let us look at the content presentation. Seventh, when the paper is written, review the abstract very, very closely. Many people will read only the abstract and it needs to be flawless. Make sure it conforms to the abstract format in your intended publication. Eight, consider the article title very carefully. Avoid a boring title which is really just a label. Consider something thought provoking or maybe even provocative, but do not stray so far that it is corny or sensational. Ninth, make sure any tables, charts, images, or graphics are essential and created in a quality fashion. Does each item standalone by itself? Lastly, let us consider the review of the manuscript before submission. My tenth tip is to read the final manuscript aloud several times. This helps for clarity and language. Eleventh, aside from having the content reviewed by your peers before submission, have others outside your field read the paper as well. Listen closely to any suggestions they have. Twelfth, avoid any hint of plagiarism. Always cite your sources. Never take any passage or ideas from others. An error here can affect your career or reputation. Finally, I know many people that watch these videos are non-English language speakers that may be submitting to an English language journal. If so, I suggest having a native English language colleague or speaker read and help craft the paper before submission. This will likely increase the quality of the final product and therefore increase the likelihood of acceptance. If you do not know anyone to help with this, there are many editorial services that will now assist for a fee. Or email me for suggestions of editors that can help with this. At the end of the day, there is no secret to success. Attention to detail and a careful review of the language will hopefully improve your work.
